Clay + HubSpot / Lead data systems
B2B lead sourcing & enrichment.
Find the right accounts, enrich the fields that matter, and give sales a reliable path from Clay to HubSpot.
We build repeatable sourcing and enrichment workflows for B2B teams that need better fit, cleaner CRM data, and control over data spend.
For teams turning fragmented prospect data into a dependable go-to-market workflow.
01 / The business problem
More records won’t fix a weak prospecting system.
A larger list only helps when your team knows who belongs on it, why they fit, whether the data is usable, and what should happen next.
Data should support a decision.
Company records need a clear fit signal. Contacts need plausible buying roles. Email or phone data needs a verification standard. The source and freshness of each field should be visible before anyone acts on it.
The CRM needs restraint.
We filter before running paid enrichments, match against existing HubSpot records, and route uncertain cases for review. That helps teams avoid duplicate companies, conflicting fields, and spend on records they cannot use.
02 / What we build
One data workflow. Six connected capabilities.
Each part serves the same goal: move from a defined market to accepted, actionable records without treating every row as an opportunity.
ICP and segment design
Translate best-fit customers into company filters, exclusions, buying roles, and a focused first cohort.
Account and contact sourcing
Build reusable Clay searches or imports, match people to target accounts, and preserve why each record was selected.
Conditional enrichment
Order providers in waterfalls and run specific enrichments only when the required field is missing or useful.
Verification and quality rules
Check identifiers, source evidence, completeness, and exceptions before a record becomes sales-ready.
HubSpot matching and sync
Find existing companies and contacts, map fields, preserve associations, and review ambiguous matches.
Refresh and cost control
Set rules for rechecking stale fields and monitor enrichment spend against accepted, usable records.
03 / How we work
A controlled path from first filter to CRM action.
We start with a manageable cohort, inspect what the data can support, and expand only after the quality and handoff rules are clear.
Define fit.
Agree on market, exclusions, buying roles, and the decision each data field needs to support.
Source a sample.
Test a narrow account cohort in Clay before increasing volume or credit use.
Enrich and verify.
Run conditional steps, inspect exceptions, and keep source and freshness context.
Sync and learn.
Match to HubSpot, review what sales accepts, and refine the sourcing rules.
Choose the next action first. Then collect only the data needed to make that action responsible and useful.
04 / What you receive
A system your team can operate.
The output is a documented sourcing and enrichment workflow, not a one-off spreadsheet. Your team can see the rules behind a record and decide when to adjust them.
Segments, filters, buying roles, and the reason a record enters the workflow.
Required fields, duplicates, customer exclusions, and exception handling.
Provider order, run conditions, and a way to review unnecessary credit use.
Matching, mapping, associations, updates, and a queue for uncertain cases.
Accepted-account rate, verified contact coverage, exceptions, and cost per usable record.
We examine the share of accounts that meet your fit rules, the verified fields available for the next action, duplicate and exception rates, and enrichment spend per usable record. List size alone is not the objective.
05 / Practical questions
What matters before you connect the tools.
Can Clay replace our CRM?
Clay is useful for sourcing, enrichment, and research workflows. In this architecture, HubSpot remains the operating CRM for customer history, ownership, lifecycle, and downstream action.
How can enrichment waterfalls control spend?
Clay waterfalls can try providers in a chosen order and stop when a usable result is found. We also filter before enrichment and use run conditions so costly steps run only when they are needed.
Will this work with an existing HubSpot database?
Yes. The integration should start by defining stable match keys, field ownership, update rules, and review paths for ambiguous company or contact records.
Does a sourced email mean we can send a campaign?
No. Sourcing data and permission to contact someone are separate questions. Outreach still needs to follow applicable consent, suppression, and marketing requirements.
