From signalTo pipeline

B2B lead sourcing and enrichment, engineered to move. We connect Clay research and data workflows to HubSpot so the right accounts reach the right action.

Talk about your GTM system

Clay → qualified data → HubSpot → coordinated action

01 / Diagnose the gap

The problem is not a lack of data. It is the distance between signal and action.

Prospecting stalls when account research, contact data, CRM records, and campaign decisions live in separate places. We design the path between them so a useful signal can become a responsible next step.

State / disconnected

A list that cannot explain itself.

Unclear fit criteria, stale contacts, repeated enrichment, and no record of why an account was sourced make volume look like progress while sales still has to start over.

State / connected

A decision the team can trust.

Each account carries its fit reason, source context, verified fields, owner, and next action into HubSpot. Uncertain records stop for review before they trigger activity.

Our working rule: decide what should happen next, then collect only the data needed to make that decision well.

02 / The architecture

A go-to-market engine, drawn as a chain of decisions.

Clay handles the sourcing, research, and enrichment logic. HubSpot carries the customer record, ownership, lifecycle, and the workflows that turn approved data into coordinated sales and marketing action.

System map / Clay × HubSpotFit → action
  1. Input / market

    Detect fit.

Define account segments, buying roles, exclusions, and signals that justify further research.

  2. Engine / Clay

    Build context.

Source accounts and people, run conditional enrichments, and retain evidence and freshness.

  3. Gate / quality

    Make the call.

Verify required fields, compare with the CRM, apply exclusions, and route exceptions for review.

  4. Output / HubSpot

    Activate.

Update the right record, assign ownership, and trigger the appropriate task or campaign path.

Clay is the research and orchestration layer. It should help answer whether a record is ready, not simply produce more rows.

HubSpot stays the operating CRM. It should show what happened, who owns the relationship, and what the next action is.

03 / What we build

Six components of a Clay-HubSpot workflow

We assemble the parts your team needs, from a first Clay prospecting workflow to the HubSpot rules that keep the engine useful after launch.

Module / 01: Strategy

ICP and segment architecture

Turn your best-fit customer profile into usable company criteria, buying roles, exclusions, and a focused first cohort.

Module / 02: Acquisition

Account and contact sourcing

Build reusable Clay tables and imports that preserve where a prospect came from and why it belongs in a segment.

Module / 03: Intelligence

Conditional enrichment

Use provider order, waterfalls, and run conditions so credits go to fields that support a real decision.

Module / 04: Trust

Verification and review

Check identifiers, evidence, duplicates, and missing fields before data reaches a salesperson or workflow.

Module / 05: Operations

HubSpot matching and sync

Map fields, preserve associations, decide when to update or create, and hold ambiguous matches for review.

Module / 06: Continuity

Refresh and cost control

Define when records should be checked again and watch spend against accepted, usable account data.

04 / Business applications

Use cases for sourcing and enrichment

The workflow is shaped around the commercial motion, not a fixed list template. These are practical starting points for small and mid-sized B2B teams.

PLAY / 01

Enter a new market.

Define a narrow segment, source a test cohort, identify the right buying roles, and learn which fit signals hold up before expanding volume.

PLAY / 02

Prioritize active demand.

Enrich inbound companies and compare them with your target profile so the right owner has enough context to respond promptly.

PLAY / 03

Revisit the CRM.

Find dormant but relevant accounts, refresh selected fields, respect existing ownership, and create a reviewable reactivation queue.

PLAY / 04

Act on relevant signals.

Combine account changes or intent cues with fit rules, then route approved records to a task, sequence, or campaign in HubSpot.

05 / Delivery sequence

Start narrow. Make it work. Then scale.

A credible autonomous GTM system starts with clear rules and observable handoffs. We test a manageable cohort before increasing data volume or automation.

Phase / Discover

Map the motion.

Review the ICP, current data, HubSpot structure, campaign process, and one high-value handoff to improve.

Phase / Prototype

Run a cohort.

Build the first Clay path, check quality and credit use, and inspect the records a human would actually accept.

Phase / Integrate

Connect to CRM.

Set matching, field ownership, associations, review gates, and the action that follows an approved record.

Phase / Operate

Refine the loop.

Document the system, review acceptance and exceptions, and adjust sourcing and automation as the market changes.

Human control stays visible

Automation handles repeatable research and routing. Your team retains control over fit criteria, data quality, suppression, and customer-facing decisions.

06 / What you receive

The workflow, the rules, and a way to judge both.

A useful implementation is one your team can inspect and operate. We make the logic behind a record visible and leave room to improve it.

  • 01
    Reusable Clay sourcing workflow

Segments, filters, buying roles, and the reason a record enters the process.

  • 02
    Data quality and exclusion rules

Required fields, duplicates, customer exclusions, and exception paths.

  • 03
    Conditional enrichment logic

Provider order, run conditions, and a clear view of unnecessary credit use.

  • 04
    Controlled HubSpot handoff

Matching, mapping, associations, updates, and a queue for uncertain cases.

  • 05
    Operating notes and review points

What to monitor, who owns exceptions, and when the workflow should change.

Quality telemetry

Measure what makes the data usable.

  • Accounts that meet fit rules
  • Verified contact coverage
  • Duplicate and exception rates
  • Accepted records in HubSpot
  • Enrichment cost per usable record

We establish a baseline together, then review these measures as the workflow runs.

07 / Practical questions

The details that make automation safe to operate.

Can Clay replace our CRM?

Clay is the sourcing, research, and enrichment layer in this design. HubSpot remains the CRM for customer history, ownership, lifecycle, and downstream work.

How do we avoid wasting enrichment credits?

We filter for fit before enrichment, run only the steps needed for a specific decision, order providers deliberately, and review the cost per usable record.

Can this work with our existing HubSpot records?

Yes. The integration starts with stable match keys, field ownership, update rules, and review paths for ambiguous company or contact matches.

Does a sourced email mean it can enter a campaign?

No. A contact detail and permission to use it are different questions. Campaign actions still need to follow applicable consent, suppression, and marketing requirements.
