AI and revenue systems for SaaS startups
Connect your website, CRM and product data so each inquiry or eligible trial event reaches the right owner. We define the rules, build the agreed path and hand it over with verified tests and operating notes.
- CaptureInquiry or eligible product event
- MatchIdentity and existing relationship
- AssignOwner, action and checked destination
Choose the first operating path
Build for how the team sells today
The same startup can need different infrastructure at different stages. Scope each path around an owner and the decision it supports.
Keep inquiries and follow-up visible
Connect the form or agreed source to a shared account and contact record. Preserve source context, assign the founder's next action, and give incomplete submissions a review path.
Make ownership explicit
Define lifecycle stages, existing-account precedence, assignment and exceptions. Add the reporting needed to see accepted handoffs and where work stops.
Connect product behavior to account context
Agree the user-to-account link and the product events worth acting on. Route eligible trial activity to a named owner, with customer exclusions and event validation.
Reference architecture
The data and ownership behind the handoff
Use this map to agree the first operating path. The implementation scope determines the tools, identifiers and acceptance tests.

- CaptureAn inquiry or defined product event
- ResolveIdentity, relationship and owner
- HandoverA named next action and receipt
What the project produces
The scope, system and handover you receive
Deliverables depend on the selected path and the available tools. The build brief records the boundary before implementation.
Build brief and system map
Document the business decision, inputs, destinations, responsibilities and acceptance criteria. Identify which existing tools and records stay authoritative.
Field and identity contract
Specify identifiers, permitted updates, record relationships, source context and owner precedence. Describe what happens when a required value or match is missing.
A complete working path
Configure or build the agreed capture, CRM and automation steps. Include visible exception handling and destination checks, then verify representative records in the target environment.
Tests and operating notes
Record actual test outcomes, unresolved limitations, access ownership, monitoring and safe recovery steps. Assign the person who can approve future changes.
Build sequence
Release one defined path before expanding it
A capture-to-owner path is a useful starting point. Product events, enrichment and AI can follow when their inputs and review responsibilities are defined.
- 01
Map the current handoff
Review the source, records, tools, owner and failure cases. Agree what a finished handoff looks like, such as a matched account, assigned task and visible receipt.
- 02
Agree the contract
Approve required fields, matching rules, allowed writes, exclusions and acceptance fixtures. Confirm that the chosen tools and account access support the scope.
- 03
Build and verify
Implement the path in the agreed environment. Test delivery, repeats, existing relationships, invalid inputs and uncertain writes, then inspect the destination records.
- 04
Hand over and choose the next scope
Provide the tested configuration, issue log and runbook. Use observed gaps and the team's operating capacity to choose the next integration or automation.
Before the build
What each team owns
A named client owner approves business rules and accepts the completed path. AGI Technologies designs, implements and documents the agreed infrastructure.
| Area | Client provides or approves | AGI Technologies work |
|---|---|---|
| Business rules | Buying roles, fit criteria, customer exclusions, lifecycle definitions and the owner of follow-up | Translate those decisions into record rules, assignment and acceptance tests |
| Tools and access | Current stack, authorized account access, available subscriptions and product engineering contact | Check feasibility, configure the agreed interfaces and record limitations |
| Data and product events | Approved fields, source records, account/user identifiers and event definitions | Map, validate and link records; define uncertain-match and failed-write handling |
| Privacy and activation | Approved capture language, processing permissions, retention policy and channel eligibility | Implement the agreed controls; keep inquiry processing separate from marketing enrollment |
| Acceptance and operations | Representative records, a release approver and an ongoing operator | Verify the target state and hand over configuration, test results and recovery notes |
AI within a defined workflow
Give AI a bounded task and a review rule
The initial path can use rules alone. Include AI when a variable task needs it and the team can define acceptable output.
A possible scope is summarizing approved account information for the owner. The brief identifies permitted sources, expected fields, evidence requirements and the person reviewing uncertain output.
AI output does not determine record identity, overwrite account ownership or authorize outreach by itself. Define validation, fallback and review before connecting it to a CRM action.

SaaS startup systems questions
Which path should an early-stage SaaS team start with?
The one that matches how the team sells today: founder-led, a first sales team, or trial-led. Each path is scoped around a named owner and the decision it supports, then released before the next one starts.
Can product or trial events reach the CRM?
Yes, once the user-to-account link and the product events worth acting on are agreed. Eligible trial activity is routed to a named owner, with customer exclusions and event validation.
Where does AI fit in the first build?
The first path can run on rules alone. AI is added for a variable task with a defined acceptable output, such as summarizing approved account information for the owner, and its output never sets record identity, changes ownership or authorizes outreach on its own.
What do we receive at handover?
The build brief and system map, the field and identity contract, the working path, and the tested configuration with an issue log and runbook. Gaps observed after release shape the next scope.
What does our team need to provide?
A named owner who approves the business rules and accepts the finished path, plus buying roles, fit criteria, lifecycle definitions, current tool access, approved fields and identifiers, and a product engineering contact.
Service boundary
Consulting and infrastructure implementation
The agreed scope covers system design, technical implementation, validation and handover. Client teams own product direction, campaign activation, outreach content and follow-up.
The project brief defines tools, access, dependencies, acceptance criteria and any ongoing support scope. Lead volume, marketing ROI and revenue outcomes are not promised.
Scope the next step
Bring one handoff that needs to work
Share your startup stage, current tools, source of inquiries or product events, and who should own the next action. Include the part that currently breaks so the first scope can be defined.
