MarTech infrastructure setup from inquiry to CRM
We connect your website forms, CRM, follow-up and measurement so each inquiry reaches the right CRM record and a named owner, with its source context kept.
- CaptureRequest and source context
- ConnectRecord, owner and next action
- CheckReceipt and exception handling
When the setup needs work
When the tools exist but the handoff is unclear
A form says a request was sent, but the team cannot confirm where it arrived. Campaign fields disappear between tools. An existing customer gets a new owner, or repeated delivery creates extra follow-up tasks. Reports count submissions while sales works from different records.
This service fits B2B teams that need a new capture-to-CRM path or a repair to an existing one. Start with the handoff causing the problem, then assess whether the current website, CRM and automation tools can support it.
What we deliver
A defined path the team can operate
The brief identifies the sources, interfaces and environments included in the build. Native features come first when they satisfy the agreed rules; custom integration is scoped where they do not. The n8n HubSpot integration guide shows one custom path, with authenticated webhooks, retries and duplicate-safe updates.
| Area | Implementation and deliverable | What it lets the team check |
|---|---|---|
| Website and forms | Capture contract, required fields, submission states and approved confirmation behavior | A request was accepted, rejected or held, with a stable source reference |
| Data and source context | Field dictionary, permitted writes, matching rules and captured landing-page or campaign fields where available | Where each value came from and which system may change it; historic source fields remain protected |
| CRM handoff | Contact and company mapping, relationship checks, owner rules and the agreed next action | The inquiry reaches the correct records and a responsible person |
| Automation and recovery | Configured flow, repeated-event handling, exception reasons and reconciliation procedure | A failed or uncertain action can be investigated without blindly repeating writes |
| Measurement | Event definitions, agreed collection controls and reporting boundaries | Interaction events, CRM delivery and qualified inquiries are distinguishable |
| Validation and handover | Acceptance records, destination evidence, configuration inventory and operator runbook | The agreed path works in the chosen environment, and the team knows how to review exceptions |
Example workflow
Track the request through every handoff
The normal path and two exception states are explicit. Measurement has its own definitions and collection rules. Only a checked CRM record confirms that the CRM action completed.

- Validate before writingResolve fields, identity and the owner rule; hold uncertainty for review.
- Check the destinationConfirm the required record, relationship and next action before marking the request complete.
- Separate the measuresUse agreed event triggers for acquisition reporting and receipts for operational delivery.
A worked example
An existing customer requests a demo
A new submission should not erase a customer relationship. The fictional values below show the expected behavior.
Keep the request and its context
Persist the source event. Check the submitted contact against the existing company and preserve its customer owner. Captured campaign context belongs to this request; it does not replace the account's historic source.
- source_event_id
- WEB-1042
- work_email
- team@atlas.example
- request
- demo_requested
- captured source
- partner_newsletter / September demo page
- existing account
- ACC-208 / customer / OWN-07
The existing owner can act
Check the contact association and one follow-up task linked to this request. Save the receipt only after the required destination state is confirmed. A repeat of WEB-1042 references that receipt without creating another task.
- processing_status
- COMPLETE
- linked records
- ACC-208 / CON-316
- preserved relationship
- customer / OWN-07
- next action
- TSK-420 / review the demo request
- receipt
- RCP-1042 / destination checked
Validation expectations
Define success and the failure states
Agree representative test cases before implementation. The table lists the checks a real release must pass. These are planning examples and have not been run on a live system.
| Condition | Expected handling | Evidence needed before acceptance |
|---|---|---|
| Valid new request | Create or link the allowed records, assign the owner and perform the agreed next action | Destination IDs, relationship, active owner and completed receipt |
| Repeated source event | Return or reference the original result | No additional record or task for the same event; concurrent delivery behavior checked |
| Existing customer | Preserve customer status and the existing owner unless an approved rule says otherwise | Before-and-after values and one action for the new request |
| Invalid input or uncertain identity | Hold the request before CRM changes; record a review reason | No unapproved write; review item has the input reference and responsible operator |
| Missing or unavailable owner | Use the approved fallback or hold for review | The chosen person or queue is active and the assignment is visible |
| Unknown write outcome | Mark pending reconciliation; inspect the destination before replay | Confirmed committed or absent action, recorded decision and safe next step |
| Measurement event | Fire only at the agreed interaction state and under the approved collection controls | Trigger evidence, permitted parameters and no contact data in analytics payloads |
Measurement boundaries
Measure what reached the CRM
Define separate states for request acceptance, CRM delivery and sales qualification. Where GA4 is included, choose event names and triggers against those definitions. A browser event cannot confirm a destination record by itself; qualified status requires the team's agreed criteria.
Keep emails, phone numbers and request text in the approved operating systems, outside GA4 event parameters and page URLs. Record source coverage and missing context, and keep attribution claims within what the data covers. The client approves collection and retention rules; inquiry processing and marketing enrollment remain separate.
Delivery approach
Repair one complete path before expanding
- 01
Map the current setup
Map the existing flow, access, fields, owners and failure. Agree the included systems, destination state, tool constraints and release criteria.
- 02
Implement and validate
Configure the scoped capture, mapping, routing and measurement. Run the agreed test cases and check the resulting CRM records, including exception handling.
- 03
Release and hand over
Record configuration and acceptance results. Transfer the runbook, recovery procedure and known limitations to the client operator; define support separately.
Client decisions and access
The setup needs an accountable client owner
AGI Technologies translates approved decisions into a configured and documented system. A named client approver owns the business rules and accepts the release.
| Client provides or approves | Why the build needs it |
|---|---|
| Website, CRM, automation and analytics access; current subscriptions; engineering contact | Check feasible interfaces, permissions and available features before committing to a tool-specific design |
| Required fields, lifecycle meanings, customer exclusions, assignment and follow-up rules | Avoid inventing qualification criteria or overwriting an existing relationship |
| Capture language, processing permissions, collection and retention policy, marketing eligibility | Implement the client's approved controls and keep operational requests separate from campaign enrollment |
| Representative records, destination accounts or queues, operator and release approver | Validate realistic cases, document exception ownership and transfer ongoing operation |
Service boundary
Infrastructure implementation with explicit limits
The scope covers the agreed system path, configuration, validation and documentation. Campaign execution, advertising management, outreach production and sales follow-up remain with the client unless separately scoped. A complete website redesign or historical data migration is a separate project.
Tool selection depends on current access, subscriptions and interface capabilities. Ongoing monitoring and support require an agreed owner and scope. The work does not promise a lead volume, complete attribution, marketing ROI or revenue result.
Questions
MarTech infrastructure questions
Can you repair an existing form-to-CRM setup?
Yes. The service covers a new capture-to-CRM path or a repair to an existing one. Work starts with the handoff causing the problem, then checks whether your current website, CRM and automation tools can support it.
Do you use native features or custom integration?
Native features come first when they satisfy the agreed rules. Custom integration, such as an authenticated webhook flow, is scoped only where the native features fall short.
How do you prevent duplicate records and follow-up tasks?
Each request keeps a stable source reference. A repeated delivery of the same event references the original result, and the acceptance tests confirm that no extra record or task appears. Uncertain identities are held for review before any CRM write.
Will an existing customer get a new owner?
No. A new request is linked to the existing company and keeps its customer status and owner unless an approved rule says otherwise. The campaign context stays with the new request, and the account’s historic source is left unchanged.
What should GA4 measure in an inquiry flow?
Request acceptance, CRM delivery and sales qualification are separate states. Where GA4 is included, event names and triggers follow those definitions, and emails or other personal data stay out of event parameters and page URLs. Only a checked CRM record confirms delivery.
What do we need to provide?
Access to the website, CRM, automation and analytics tools, your field and ownership rules, representative records, and a named person who approves the business rules and accepts the release.

Technical sources for the integration rules
Reviewed on 28 September 2026. These sources support the record, measurement and retry distinctions used on this page.
- HubSpot CRM contacts documentation
Contact management, retrieval and associations are separate operations to inspect. The implementation must use the API version and permissions supported by the chosen environment.
- Google Analytics recommended events
GA4 distinguishes lead generation and qualification events. The trigger still needs an agreed business definition; an analytics event is not a CRM receipt.
- Google Analytics guidance on personal information
Email addresses and other personal information must be kept out of Analytics collection, including event data and page URLs.
- IETF RFC 9110, section 9.2.2
HTTP retry guidance supports checking an uncertain create outcome before repeating a write. The reconciliation procedure here is our design choice.
